Syndicate Financial Services ('we,' 'our,' or 'us') operates the SFS Agent Portal platform. This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you use our platform. Please read this policy carefully. By using our platform, you agree to the collection and use of information in accordance with this policy.
We collect information you provide directly to us, including name, email address, phone number, and professional information when you register as an agent. We also collect lead information submitted through Meta lead generation forms, including contact details provided by prospective clients. Additionally, we collect usage data, device information, and cookies to improve our platform.
We use the information we collect to operate and maintain our platform, distribute leads to licensed insurance agents, track agent performance metrics, process payments through Stripe, communicate with you about your account, send notifications about new leads, and improve our services. Lead data collected from Meta is used solely for the purpose of connecting prospective clients with licensed insurance agents.
Our platform receives lead information from Meta lead generation forms. This data is used exclusively to connect prospective clients with licensed Syndicate Financial Services agents. We do not sell lead data to third parties. Lead data is shared only with the specific licensed agent assigned to follow up with that prospective client. We retain lead data for up to 24 months for business records and performance tracking purposes.
We do not sell, trade, or rent your personal information to third parties. We may share your information with licensed agents on our platform for the purpose of following up on leads, service providers who assist in our operations (including Supabase for data storage, Stripe for payment processing, and Twilio for communications), and law enforcement or government agencies when required by law.
When an agent connects their Google account to our platform, we request access to their Google Calendar data using the calendar.readonly and calendar.events scopes. We use this access solely to (a) read the agent's free/busy availability so prospective clients can book valid appointment times, and (b) create, update, and remove calendar events that correspond to appointments booked through our platform. We do not read, share, or transfer the contents of unrelated calendar events, and we never use Google user data to train AI or machine-learning models. An agent can revoke our access at any time from their Google Account permissions page or from the calendar settings inside our platform, which immediately deletes the stored OAuth tokens. Our use of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements.
We implement industry-standard security measures to protect your information, including encryption in transit and at rest, role-based access controls, and regular security audits. However, no method of transmission over the Internet is 100% secure, and we cannot guarantee absolute security.
We retain personal information for as long as necessary to provide our services and comply with legal obligations. Agent account data is retained for the duration of the agent relationship plus 3 years. Lead data is retained for 24 months. Payment records are retained for 7 years as required by law.
You have the right to access, correct, or delete your personal information. You may also request that we restrict processing of your data or object to certain processing activities. We use cookies and similar tracking technologies to track activity on our platform and hold certain information. You can instruct your browser to refuse all cookies or to indicate when a cookie is being sent. However, if you do not accept cookies, some portions of our platform may not function properly.
Our platform is not intended for use by individuals under the age of 18. We do not knowingly collect personal information from children under 18. If we become aware that we have collected personal information from a child under 18, we will take steps to delete that information.
We may update this Privacy Policy from time to time. We will notify you of any changes by posting the new policy on this page and updating the 'Last updated' date. You are advised to review this policy periodically for any changes.
